What an invoice needs

Rules depend on the country, but a clear invoice always shows:

• the word Invoice and a unique number, in sequence (INV-2026-001, INV-2026-002…);
• the date it was issued and the due date;
• your name or business name, address and, where it applies, your tax or company number;
• your client's name and address;
• each item: description, quantity, unit price and line total;
• the subtotal, the tax (rate and amount) if you charge it, and the total due;
• how to pay: bank details or payment link, and your payment terms.

Selling to a business in the EU or the UK usually brings extra mentions (VAT numbers, reverse-charge wording). Check your tax office's guidance if you're unsure.

Tips that get you paid faster

• Send it the day the work is done, not at the end of the month.
• Put the due date in the email subject as well as on the invoice.
• Keep numbering in one unbroken sequence: never reuse or skip a number.
