Receipt template: how to write a payment receipt (free example)

A receipt is the proof that money changed hands. Written properly, it settles “I already paid you” in ten seconds. Here’s what to include and three templates to copy.

  • A receipt proves a payment was made. An invoice asks for payment. Send the invoice first; issue the receipt once the money arrives.
  • A useful receipt shows: a receipt number, the date, who paid and who was paid, the amount, the payment method, what it pays for, the balance still owed, and a signature or business name.
  • In the US and UK there’s no single legal receipt format, but specific rules apply in places: rent paid in cash in New York, weekly rent books in England and Wales, and written acknowledgments for charity gifts of $250 or more.
  • Your customers may need your receipt for their taxes: the IRS expects documentary evidence, such as a receipt, for travel and gift expenses of $75 or more, and for all lodging.
  • Three templates below: cash payment receipt, rent receipt and deposit receipt.

For many freelancers, the simplest option is to invoice, then mark the invoice “Paid on [date] by [method]” once the money lands. A separate receipt is most useful for cash, deposits, partial payments and rent, where there may be no invoice or bank trail at all. Do you have to give a receipt?

There isn’t one general rule in either country. A handful of specific ones matter.

Consumers in the UK. You don’t strictly need the original receipt to use your consumer rights. Citizens Advice says a bank statement or other proof of purchase can do the job when you return a faulty item. That’s one reason small sellers skip receipts, and one reason buyers paying cash should insist on one: cash leaves no statement.

Rent in England and Wales. Under section 4 of the Landlord and Tenant Act 1985, a landlord must provide a rent book or similar document when rent is payable weekly. Monthly tenancies aren’t covered by that rule, but a rent receipt is still good practice, especially for cash.

Rent in New York. Real Property Law § 235-e requires landlords to give a written receipt when residential rent is paid in cash or by anything other than the tenant’s personal check. The receipt must show the date, the amount, the premises and the period paid for, and the signature and title of the person receiving it. Tenants paying by personal check can request one in writing. The landlord must keep records of cash rent receipts for at least three years.

California. Civil Code § 1499 gives a debtor the right to require a written receipt from the creditor for any property delivered in payment.

Charities in the US. A donor needs a contemporaneous written acknowledgment for any single gift of $250 or more to claim a deduction, and a charity must give a written disclosure for a quid pro quo gift over $75 (for example, a $100 gala ticket that includes a $40 dinner).

Your customers’ taxes. IRS Publication 463 says documentary evidence, such as receipts, is generally needed for travel, gift and similar expenses unless the expense is under $75, and always for lodging. It should show the amount, date, place and nature of the expense. When a business client asks for a receipt, that’s usually why.

What to put on a receipt

A receipt that will hold up in a dispute answers six questions: who paid, who was paid, how much, when, how, and for what.

  1. A unique receipt number from your own sequence.
  2. The date and place of payment.
  3. Who was paid and who paid, with contact details.
  4. What the payment is for, with the invoice or order number.
  5. The amount, also written in words for cash.
  6. The payment method and the balance still owed.
  7. The signature or name of the person who took the money.

Two details prevent most arguments. Writing the amount in words stops “$150” from becoming “$750”. Stating the balance (“Balance due: $0.00”) makes it clear whether the account is closed or not.

If you collect sales tax or you’re VAT-registered, a receipt for a taxable sale may need to meet those rules too (in the UK, that means a VAT invoice or, for sales of £250 or less, a simplified one). Our invoice template covers those extra fields.

Use it for any hand-to-hand payment: selling a used car or furniture, private lessons, a club membership fee, paying back a friend. Make two copies, one for each side.

For a private sale of something valuable, add “sold as seen” or any agreed terms, and keep a copy of the ID details you checked. A receipt records the payment; it doesn’t replace a bill of sale or title transfer where one is required.

Template 2: rent receipt

A rent receipt protects both sides: the tenant can prove they paid, the landlord can show what was paid for which period. Tenants often need them for rental applications and some benefit or tax claims.

If the tenant pays only part of the rent, say so on the receipt (“Partial payment. Balance due for October: $400.00”). A receipt that looks like full payment when it wasn’t invites a dispute later.

Template 3: deposit receipt

A deposit receipt must say one thing clearly: whether the deposit is refundable, and when. The rules depend on your contract and, for tenancy and consumer deposits, on local law (security deposits for rentals, for example, have their own state and UK protection schemes). Write the agreed terms, not assumptions.

Numbering and record-keeping

Give receipts their own sequence (RCT-2026-001, RCT-2026-002…), separate from your invoices. A gap in the sequence is easy to spot, which is exactly why it helps if anyone ever questions a payment. If you make a mistake, don’t reuse the number: mark the receipt “VOID”, keep it, and issue the next number.

Keep a copy of every receipt you issue:

  • US: the IRS asks you to keep records for at least three years in most cases, and six or seven years in some situations (for example, if income was substantially under-reported, or for a bad debt deduction).
  • UK: if you’re self-employed, keep records for at least five years after the 31 January submission deadline for that tax year. Limited companies generally keep them for six years.
  • Landlords in New York: records of cash rent receipts for at least three years.

Frequently asked questions

Is a handwritten receipt legal?

Yes. Neither the US nor the UK requires receipts to be printed. A handwritten receipt from a duplicate receipt book is fine as long as it’s legible and shows the date, both parties, the amount, the payment method and what it’s for, with a signature.

Does a receipt need a signature?

Not by law in most cases, but for cash it’s the main thing that makes the receipt credible. New York’s cash rent rule does require the signature and title of the person receiving the rent. For card or bank payments, your business name and a transaction reference do the same job.

Can I email a receipt?

Yes. A PDF or email receipt is fine for most purposes, and easier to keep. Some rules (New York rent receipts, for example) set timing: immediately if rent is handed over in person, within 15 days if it’s sent indirectly. For tenants and customers who prefer paper, offer both.

Is a paid invoice the same as a receipt?

It can be. An invoice marked “Paid”, with the date, amount and payment method, proves the payment and itemizes the sale in one document. Use a separate receipt when there’s no invoice (a private sale, cash rent) or for deposits and part-payments.

What’s the difference between a receipt and a bill of sale?

A receipt proves money was paid. A bill of sale transfers ownership of an item, such as a vehicle, and may need specific wording or forms in your state. For big-ticket private sales, you may need both.
